Hot Topics from the HOA Board:  July 2021


EVENTS

SAVE THE DATE! HOA Annual Meeting Slated for Thursday, September 23rd

The Annual Meeting will be held at the Riceville Fire House, 2251 Riceville Rd., on Thursday September 23. Sign-in starts at 6 p.m. and the meeting will begin at 6:30 p.m. Here are some details:

  • We currently have the outdoor pavilion reserved as the Fire Department is not allowing indoor gatherings. That may change by September, but the HOA should be prepared to hold the meeting outdoors, as we did last year, if need be.
  • While we will provide a ZOOM link for out-of-town Lot Owners to view and listen in, voting will only be either in-person or by proxy, so plan ahead.
  • The proposed 2022 HOA Budget which will be voted on at the meeting will be sent out in late August along with more details on the meeting.
  • Three Board terms are expiring this year. Voting for Board positions will be by written ballot, with nominations submitted prior to the meeting. Nominations from the floor will also be allowed during the meeting. Board meetings are held once a month. While the meetings are currently held the first Monday of each month during the day, the board will set at a time a place convenient to all board member schedules, so it may change. HOA members interested in running for a Board seat, or wanting more information, should get in touch with any current Board member or write to the board at board@sovereignoakshoa.com.

Social Committee Upcoming Events

We had a terrific turnout for our first 2021 gathering in June. The evening was filled with many neighbors and great food from Cici’s Culinary Tour. They sold roughly $1100 worth, which was wonderful! These trucks have minimum amounts they need to sell (or we would have had made up the difference) and our group more than doubled theirs! 

Mark your August calendar for two events!

  • Beat the heat with Sunshine Sammies! They will be at SO selling their delicious creations on Sunday, August 15th from 2 – 4pm. Location TBD – but likely at the Trail Top Drive cul-de-sac again for swimming hole proximity. Check out their website to whet your appetite!
  • French Wine Tasting Event with Special Guest Thomas Meunier, owner of Authentique Vin portfolio. Sample and learn about some of his fantastic wines with an opportunity to place orders for your favorites through our local wine store Metro Wines! Saturday, August 21, 4-6pm at the Galvin home, 35 Majestic Oak Cir. Outdoor event (covered carport) unless weather is severe. Click here to RSVP by August 13.

REMINDERS

DEAD or ALIVE! Check with the DRC Before Removing Trees

Sovereign Oaks design guidelines require DRC approval for removal of any tree with a circumference of 4” or greater, even dead trees. Contact the DRC at drc@sovereignoakshoa.com.

Keep Sovereign Oaks Beautiful – including the Road Frontage

As a reminder, all Sovereign Oaks Lot Owners are responsible for mowing or mulching the strip of road frontage adjacent to their property. This includes both lots with finished homes and lots under construction once ground has been broken. The HOA landscape contractor mows the frontage of lots not yet under construction. Knock down those weeds!

Keep Sovereign Oaks Safe – Traffic Signals

With all the construction activity happening within Sovereign Oaks, we are experiencing a high volume of truck traffic, including some pretty big rigs! On top of that, many of us now living here have landscapers or other contractors coming to work on different projects. As a result, our residential roadways, used by pedestrians and bicyclists as well as vehicles, can get pretty crowded.  Here are a few things to keep in mind:

  • The speed limit within Sovereign Oaks is 25 m.p.h. Please keep to the limit and inform visitors and contractors to do the same. 
  • Homeowners who have contractors working on their property need to ensure that contractors’ vehicles are parked ON THEIR PROPERTY, either in the driveway or the grass edge, but not in the roadway or on other Lot Owners’ property (even if the lot is undeveloped).

COMMUNITY INTEREST

Paving at Front Entrance Now Slated for July

The rainy weather delayed the road repair near the front gate, but Pisgah Paving will repave the surface around the entrance/exit gate sometime in July when the company is here for work on homeowner construction sites as well. This will mean the exit gate will be blocked during the repaving so watch for the hazard warnings, shared traffic through the entrance gate and workers.  The Company will give us a few days’ notice, so watch for an announcement when a date has been scheduled. 

Keep Sovereign Oaks Special — Get Involved

Find an outlet for your energy, enthusiasm, ideas and love of living in Sovereign Oaks!  The Greenhouse Committee is looking for new members who don’t mind getting their hands dirty! Contact Kirsten Kern: kmkern9@gmail.com for more info. There will also be an open invitation to help with weeding and maintenance on a work day in early August. If you want to come work and not commit to a committee, let Kirsten know and she will confirm a date with you.

BUSINESS

Upcoming BOD Meeting/Date Changes

The next BOD meeting is scheduled for July 12th, 11:30-1:00, 28 Hawberry Court.

As a reminder, meetings are scheduled for the first Monday of the month subject to change based on availability of our volunteer Board members. Monday July 5th and Monday September 6th both follow Holidays. As a result, the Board will meet the following Mondays, July 12th  and September 13th. Out of respect for the work schedules of our volunteer Board members, we limit our meetings to 1 ½ hours with a hard stop at 1 P.M.

Any HOA members who want to attend should check with the Board to confirm the schedule: board@sovereignoakshoa.com.

Annual Meeting/BOD Nominations Open

The HOA Annual Meeting is coming up this September. The date is still being confirmed with the venue.
Three Board terms are expiring this year. If any HOA member is interested in running for the Board, get in touch with any current Board member or write to the board at board@sovereignoakshoa.com to find out what’s involved in serving on the board and to ensure your name can be entered on the ballot

Accessing the Sovereign Oaks Website

The SO website https://sovereignoakshoa.com contains lots of useful information for residents. For those HOA members who have not logged on before, you can use the gateway password “sovereignoaksHOA” for your first log in then set your own username and password. Please note, a site administrator has to approve the new login, so there may be a delay in activation.
Current users, please remember that you may have to enter the gateway password in the future if it has been a while since your last visit.

SOVEREIGN OAKS WEBSITES TO BE REVISED

Amanda Galvin and Rebekah Owings are taking on the task of revising the Sovereign Oaks public-facing website (sovereingoaks.com) and the HOA website (sovereignoakshoa.com). The goal for the public-facing website is to have it be more informative about the community in general. The goal of the HOA website redesign is to institute an initial login request that ensures only HOA members can gain access, but also make the login process easier than the two-step process that currently exists. The site will also be redesigned to be easier for HOA members to navigate and find information.
