2025 Annual Meeting Information
The 2025 HOA Annual Meeting is scheduled for Thursday, September 25th at the East Asheville Library, 3 Avon Road. Registration begins at 6:30 p.m. with the meeting starting at 7:00 p.m. Four matters will be put before the HOA membership for a vote. Each Lot is entitled to one vote per Lot, cast only by those attending in person or via a signed proxy, so plan ahead. The matters requiring a vote of the HOA membership are:
Approval of the Minutes from the 2024 HOA Annual Meeting
Approval of the 2026 Proposed HOA Budget
Please note: As stated in the Sovereign Oaks HOA CC&Rs: The Annual Budget may be ratified without a quorum. What this means is the annual budget can be approved by a vote of less than 50% of SO HOA members being present.
Election of one HOA Board Member to a three (3) year term
Approval of Proposed Amendment to the Covenants, Conditions, and Restrictions – Fire Ban (See accompanying details)
– Approval of the minutes and budget will be by a show of hands.
– Board seat/s and Amendment will be voted on using written ballots which will be distributed when attendees register at the Annual Meeting. HOA members who want to stand for election to the Board, and are interested in having their name pre-printed on the written ballot, need to notify the HOA board no later than 5 p.m., Friday, September 19th, at board@sovereignoakshoa.com. Nominations from the floor will also be accepted and can be handwritten onto ballots by individual voters.

*Annual Budget Note: When reviewing the proposed 2026 annual HOA budget be aware that the 2025 actual amounts are only through July 2025 and are not representative of what is expected through December 2025. As such, three previous years of financial information is included on the budget table for comparison purposes. During the September annual meeting, the financial data through August will be the latest data available and will be updated on the HOA annual budget presented at that time.
Remember the yearly honey distribution will follow the meeting. Honey will only be distributed to those present in person, or by proxy.
